March Administrative Board Meeting


March 3, 2013

Daryl Perry opened the meeting with prayer.
Minutes from the December meeting were read and approved.

Treasurer’s Report:
                                    General Fund Balance, 2-26-13           $5094.86
                                    Building Fund Balance, 2-26-13           $3896.37
                                    Total                                                    $8991.23

Our budget is $50,000 for the year.  We are in the black and doing well.

Old Business:
Heat and Air system:  It was suggested that we look into replacing our old system with something more efficient. An off-the-cuff estimate was $5000-$7000.  We have $1000 already designated for a new heat and air system. Daryl volunteered Ken, Al and Jesse to look at prices to get an idea of how much it would really cost. 
Barbara & Jesse pledged $1000 to the project; Ann & Al pledged another $1000. Al made a motion to start a fund to raise money to replace our heat and air system.  Beth seconded it. All in favor say “Heat & Air.”  Motion carried.

New Business:
Piano in sanctuary needs to be fixed and tuned. 

Twyla volunteered to water church plant life over the summer.

Trash off date will be near Earth Day in April.

VBS is set for June 16-21.  Snyder’s VBS will be in July.

Snyder service at the pond will be in June.

Shad Hannabass will continue mowing the grass at $60 per mow.

We would like to start taping Jim’s sermons.  That will require the purchase of a new digital video camera.

There is a puzzle party once a month in the big Sunday School room.

Welcome home celebration is planned for the weekend of the town birthday party, August 24-25

October Minutes

Pastor Jim opened the meeting with prayer.

We're up about $800.00

Old Business:
Ken discovered that a burnt wire was causing the AC to blow fuses.  He installed a new circuit breaker. Problem solved.

New Business:
The town of Indiahoma is getting a new garbage system that will start November 1st.  Trash pick-up day will be Monday and we will have our own trash can. (We've been taking trash to the dumpsters which will no longer be available.) Daryl will get the trash can out to the curb for pick up on Mondays.

Pastors Report:
Charge Conference is Monday, October 15, 2012 at 7:00 p.m. Most reports are done. The few remaining will be done this week.

Pastor Jim is going to a workshop called the Kingswood Initiative in Hobart on October 18th, 5-9:00 p.m.

From the brochure:  This is the heart of the “Kingswood Initiative,”—a workshop on missional thinking and action.While most United Methodists remember John Wesley’s “heartwarming” experience at Aldersgate, few seem to remember that an equally powerful thing happened to him about a year later. It was then that Wesley first preached outdoors, taking the gospel from the church to the places of pain and suffering in  England during that time. Kingswood was a local mine where Wesley discovered what was to be the lasting focus of his revival ministry: going to where people were, taking a Gospel of Good News, and of loving action—to bring healing and wholeness in every sense of those words.

There's a hayride and corn maze outing to Chickasha on Friday, October 26th.  Let Pastor Jim know if you want to go.

On Sunday, October 28th, Snyder UMC is having a Trunk-or-Treat event.  Come in  your costume and get treats from vehicles instead of from houses.

Minutes from the August 5, 2012 Board Meeting were read and approved.

Old Business:
            The AC is blowing fuses. Ken will find out what is causing it.
            Alba noted that cooler weather is expected so more landscaping will be done.
            Herwannah talked about the Christmas program.  She will be recycling the 1980 program so there will be no cost involved. The program is scheduled for Sunday, December 16, 7:00 p.m.  Candy sacking will take place during Sunday School, Dec 16.  Finger foods as usual in Fellowship Hall following the program.
Welcome Home Service is tentatively scheduled for Spring 2013.  Start gathering names and addresses of people who used to attend IUMC.
A Church Directory is in the planning stages. Stay tuned for details.

Pastor’s Report:
            Charge Conference will be Monday, October 15. Pastor Jim will bring Charge Conference forms to church for people who need to fill them out. We will have finger foods at Charge Conference as usual.

August Board Meeting

We had to cancel our monthly church lunch because the Fellowship Hall air-conditioner is not working. We had a brief board meeting in the sanctuary followed by a visit from our new District Superintendent, Chris Tiger.

Here is a synopsis of our brief Administrative Board Meeting:

New Business:
The air-conditioner in Fellowship Hall is on its last legs.  Ken, head of the Trustees, reported that the AC is old, we don't know what is wrong with it and we need to get someone to look at it and diagnose the problem. We decided to get two estimates, one from Indiahoma and one from Snyder.

Pastor's Report:
At this time, Chris Tiger and his wife arrived.  Jim said he had nothing pressing and invited Chris to begin his Shepherd's visit. Meeting adjourned.

Old Business:
  1. VBS was a huge success.
  2. Ice Maker: Angie the Repairman said he would take the old ice maker in exchange for parts and labor when he tried to fix it.  Motion made, seconded and carried to accept Angie's offer.
  3. The landscape project north of Fellowship Hall is completed.  Pictures to follow.
  4. When it cools down, landscape work at the front of the church will begin.
  5. Al Bennett offered to put a trickle water system in the "tree yard" when it cools down. He will also remove the dead, dying trees.
New Business:
  1. Fred Suggested we introduce our new pastor at the School Ice Cream Social. Great idea.
  2. Herwannah asked that people start thinking about the Christmas program and share any ideas they have.  The program will be on Sunday, DEC 16, 2012.
  3. Harold has already ordered the Christmas candy.
Pastor's Report:
The Perkins are glad to be here and excited about our journey together.

Our new District Superintendent, Chris Tiger, will be at our church on Sunday, August 5, at 2:00 p.m. Jim hopes he can come earlier to eat with us as this will be our next church dinner and board meeting day.

The 2011 audit was due on July 1st.  We are one of many naughty congregations who did not get this done. Because we always pay 100% of our apportionments and we have already paid 100% of district apportionments and 50% of conference apportionments this year, we aren't in too much trouble over the late audit report.  But we do need to get it done.

Jim is going to spend the entire day at our church 2 to 3 times a year and will do the same at Snyder.  That way he can be a part of the whole church experience, not just the sermon portion.

Another great idea is a "Welcome Home Service."  This is something Jim did at Nowata, in the fall around Thanksgiving, when he was pastor there.  It was a special service for people who used to attend church there.  It wasn't a gimmick to get them to come back, just a celebration time to see them again. Of course there was a special meal after this service.  Start thinking of people we can invite to our Welcome Home Service.

Jim would like to have a church directory with pictures.  He thinks we can do it ourselves.

We will have a new church insurance company as of OCT 1, 2011. Patrick will explore options.
Harold has already order Christmas candy to be delivered in December.

Programming Reports:
Conference will always be in Oklahoma City at St. Luke’s UMC and OCU.
Patrick told about the District Mission Trip to Tennessee that he and Mattie attended.

Pastor’s Report:
  • St. Yootz Day, August 13th was a fabulous albeit exhausting time with teenagers.

April 2011 Board Meeting

April 3, 2011
Patrick opened the meeting with prayer.
Minutes from the March meeting were read and approved.
Treasurers' Report:
Balance at the end of March:

There has been no progress on paying apportionments.
The insurance on the building has not been paid because we have not received a bill. All of the churches are in the same situation.

Alba shared the revisions to the Safe Sanctuaries Policy. Things that need to be done are getting a strap for the TV, making a locked area for toxic materials and put windows in the doors. Ken Wellhouse offered to put the windows in the door. Patrick will type up the revisions to the policy so it can be presented for approval at the May meeting.

Jeannie and Shorty Davis offered to remove the dead trees and plant new ones.

Al and Ann Bennett were thanked for the thermostats. Johnny Belcher installed them at no cost. Al said the thermostats will be set at 73 degrees in the summer.

Bible study will finish up with the last two meetings being on April 10 (Monday) and April 11 (Tuesday).

VBS is happening June 13-17, 9:00-11:30 a.m. It will be a jungle expedition theme.

December Board Meeting Minutes

Daryl called the meeting to order and Patrick opened with prayer.

Minutes of the October Meeting were read and approved.

Committee Reports:
Women's Circle and Choir are doing fine.

Old & New Business combined:
Food Drive: We turned in close to 300 items to Indiahoma FFA. Their collection date cutoff is Dec. 10 at which time they will announce which class gets a pizza party and which church gets a landscape makeover.

We decided to go caroling after choir practice on Dec. 15, approximately 6:30 p.m. Alba will make fliers to post around time promoting the Christmas program and caroling.

School Christmas Program: Thursday, Dec. 16, 7:00 p.m.

Senior Citizen's Christmas party: Sunday, Dec. 19, 1:00 p.m.

Indiahoma UMC Christmas Celebration: Sunday, Dec. 19, 7:00 p.m.

We will sack candy during Sunday School on Dec. 19th. Those attending the Senior Citizen's Christmas party are excused from sacking candy this year.

Pastor's Report:
The High School lunch went well. Bar B Q brisket sandwiches seem like the way to go. They are easy to make and the kids like them.

The Lawton UMC conference was a big success.

The Small Churches Meeting in Elfin was a pretty good work shop.

The Community Service in Snyder went real well. Patrick responded to Herwannah's request to invite everyone to stay and eat whether they brought something or not.

Adminstrative Board Meeting, 10/3/10

The stove sold for $50, new memorial gifts of $175.00 and an $11 rebate from Cotton Electric.

Committees:
Women's Circle got a $50 check from John Vana's daughter which will be used for future funerals and when someone needs help with their water bill.

Trustees sold the old stove for $50.00. We need to plan a work day to do a few things around the church. Ken Wellhouse has made 40 pew Bible holders.

Choir will do the Christmas Program that Virginia wrote several years ago. It has familiar songs and won't require much practice.

Pastor's Report:
Charge Conference is October 18 at 7:00 p.m. Please bring finger foods.

We will have the outreach lunch for Indiahoma High School students on Wednesday, October 27. The menu is BBQ brisket sandwiches.

The district wide food drive culminates on November 6th. We should plan an activity on that Saturday and disburse the food. Advertising ideas: put it on school Marquis and make fliers.

District Conference is Sunday, November 7th.

Small Churches workshop is THU November 11th in Elgin.

Our Invitation to the Old Testament will begin in January.

Fall singing in Snyder on the Sunday before Thanksgiving.

Women's Circle is doing well. They have regular meetings and have enough money to help out when needed.

Trustees Report---The new stove has been installed, the old stove did not sell at the town garage sale. It is at Virginia's waiting for a good home somewhere.

May 2, 2010 Board Meeting

17 people in attendance.
Patrick opened the meeting in prayer.
The minutes from the March meeting were read and approved. (There wasn't a meeting in April because of Easter.)
Treasurers Report:
We are up $2000 since March. Harold would like to be up another $2000.
Building Fund=$3708.61
General Fund=$3546.82
Total=7255.43
Billye has a fundraising idea. She thinks it would be interesting for people to write their stories about life when they grew up, tell what an average day was like, so that kids now and in the future will know how it was to live without microwaves and other inventions that we don't even know about yet. We would put all the stories in a book, publish it and sell it.
Propane update: $260 bill for April.
Committee Reports:
UMW---They had a wonderful Surprise Birthday Party for Virginia for their April meeting. There is another meeting this week, May 5. UMW has no $ worries.
Trustees---We have a contract to fix the Bell Tower. They will replace the window with a decorative Plexiglass window ($248 for the Plexiglass and $200 for the design). A metal door will be installed.
The hydrant that caused the water leak has been fixed. Daryl built a boundary around it with bricks and decorative rocks to keep people from accidentally knocking into it.
We need to have a work day to get several projects done. Trash Off and Cemetery Work Day are on May 15. We decided to wait until June for the church work day.
Choir---For 2 weeks the choir has sung out of the 101 Songbook. They sang at the Baptist Church evening singing and at the Benefit for TSA.
Old Business:
VBS is set for the week before Fathers Day. The theme is High Seas Expedition.
Thursday night study and/or instructional DVD viewing. Patrick and Billye agreed to get together to work out the details on this.
New Business:
We have 4 graduates: Kyle Carothers (College), Tyler Rhoads and Mattie Jones (Jr. High) and Laycee Haynes (High School). Alba is taking care of gifts for our graduates and gifts for mothers at the Mothers Day worship service.
Pastor's Report:
Mattie and Cassie are going on the mission trip to Espanpola, New Mexico in June.
June Tucker will be preaching at our church on May 9th because Patrick will be in Nebraska at his nephew's high school graduation May 5-9.
Patrick is speaking at IHS Baccalaureate on May 16.
There was a discussion about having a quarterly community singing and a welcome back to school block party. We are going to prayerfully consider these things and revisit them at the June board meeting.

Treasurers’ Report: $208 was received at the BBQ sandwich lunch before the board meeting.
Harold said, “We need to quit spending money.”

March bill is $600 so far.
Remember to turn down the heat after using the church.

Harold will pay the first apportionment payment at the end of March.

Pastor’s Report:
There were 15 in attendance at the Ash Wednesday Service.
The High School Outreach Lunch (FEB 24) was great. We voted to continue it next year.
March 22, 2010 is the Lawton District Youth Council at Cache UMC.
March 28, 2010 is the Snyder Ministerial Alliance Holy Week Service at Snyder UMC.
April 1, 2010, 6:30 p.m. - Maundy Thursday Service at Indiahoma UMC
April 2, 2010, 6:30 p.m. - Good Friday Service at Snyder UMC
April 17, 2010 is the annual Trash Off and District Lay Speaker Training (9:00-4:00)
Patrick and Daryl are both teaching at the Lay Speaker Training.
Daryl doesn’t teach until the afternoon so he’ll participate in Trash Off.
Patrick said he heard there were about 4000 health kits sent form Oklahoma.
He thought it was great that a church our size sent 139.

Old Business:
Alba will get VBS supplies at the Salt Cellar by the end of March.

New Business:
Herwannah asked if the Elementary Academic Team could have their tournament at our church.
Permission was granted. (NOTE: Grandfield, Chatty & Elmore City came to the tournament. Indiahoma won First Place)
Billye suggested we have a Thursday Night Meeting to watch DVDs and Videos with
Christian Instructional Emphasis. Patrick & Billye will plan how to proceed.

  • We spent $190 on the lunch for Indiahoma High School students.
  • Bathroom expenses were discussed.
  • Future expenses include: fixing the window in the bell tower, repairing the south door to Fellowship Hall, patching and painting the sanctuary and Fellowship Hall
  • Katherine made a motion to hire Ronnie Calhoun to patch and paint the sanctuary for $200 and to get an estimate for doing Fellowship Hall also. Collene 2nd. All in favor say, “Patch and Paint!” Motion approved.
  • Herwannah made a motion to repair the Bell tower window by putting the Methodist Emblem between two pieces of laminate, replace the double doors with a single metal door and have a sign made for the door (enter on south side of church). Deloris 2nd. All in favor say, “Fix the Belltower!” Motion approved.
  • Daryl will get Jimmy to look at the Fellowship Hall south door.

Old Business:
  • We bought Indiahoma School Christmas Angel Tree gifts for a boy and a girl.
  • Alba didn’t find a good deal on an after-Christmas clearance sale Christmas tree so we will use our old one another year and try to get a good deal next year.
  • Nine kids went caroling and had a great time. So did the sponsoring adults. They especially enjoyed using the Lien’s flat bed trailer.
  • We talked about providing more substantial food for the after school tutoring kids.

New Business:
  • VBS dates are June 14-18, with Fathers Day on the following Sunday.
  • Lunch for Indiahoma High School Students is on WED, FEB 24. BBQ beef sandwiches.
  • Lawton District Leadership Training has been rescheduled for SUN, FEB 28.
  • Haiti Health kits were mentioned.
  • April 17 is Spring Clean Up/Trash Off & Church work day.

We've paid $2000 labor & $248.72 for materials for church repairs.

UMW Report - All is well.

Trustees Report - The window looks great. Ronnie is going to come back and match the paint. The bathrooms are much better. We might consider putting ADA toilets in the Fellowship Hall bathrooms. We need to get the speakers on the wall and run a separate line for our sound system. In spring we'll spruce up the courtyard and fix the bricks under the bell tower.

Choir Report - There are only two Wednesdays left for Christmas Program practice.

Pastor's Report:
1. The after school reading program is doing well. We need more helpers to tutor.
2. The District Youth Lock In that was scheduled for DEC 31 has been postponed.
3. WED, DEC 9th at 12 noon we will host a free lunch for Indiahoma High School students. We discussed who will cook lasagna, who can be at church to set up and serve. Patrick will buy the food at Sam's. Patrick will also do a devotional while the kids eat.
4. DEC 13 IUMC will go se CUMC's Living Nativity with SUMC.
5. DEC 20 at 7:00 p.m. is the Indiahoma UMC Christmas Program.
6. Patrick will be gone DEC 27 celebrating Christmas in Ft. Worth. Daryl will preach that Sunday.

Old Business:
1. Our church gave $150 to the school robotics team for their National Competition trip.
2. Daryl has 2 slabs from the Mesquite tree that was cut down.
3. Christmas Eve service will probably be at 7:00 p.m.

New Business:
1. We decided to sponsor two students from the Indiahoma Angel Tree. Alba will buy the gifts and decide how much to spend.
2. The church Christmas tree is getting old. Katherine made a motion to buy a new pre-lit tree after Christmas. Colleta seconded. All in favor say, "Get a new tree!" Motion carried.

November 1, 2009 Administrative Board Meeting

Treasurers’ Report: $2313.97 was paid for apportionments & new refrigerator. We are solvent.

Trustees’ Report: By motion and vote Jimmy Neugebauer was hired to replace the frame and support system for the stained glass window at a cost of $1250 labor and we buy the materials ($300--$350). We will get composite material instead of wood and treated wood for the support with a ¼” Lexan cover outside the window for weather and damage protection.

There was discussion about hiring Jimmy to fix the old bathrooms after the window project.

Pastor’s Report: Two IUMC youth went to Haunted Corn Maze in Weatherford.
Crossfire District Conference was a big success.
After-School Tutoring on Thursdays is touching children’s lives.
Two IUMC youth (Mattie & Cassie) will go on the District Mission Trip in June
December 31st---District Youth Lock-In at Centenary UMC, Lawton, 7pm-7am
December 9, free lunch for high school kids at our church
December 13, attend Cache UMC Live Nativity with Snyder UMC
Patrick will be in Nebraska, November 23-28, celebrating Thanksgiving

New Business: Senior Citizen’s Christmas Celebration is December 13.

Calendars are in. Alba is making labels for the calendars to let people know they are gifts from our church. They will be given to teachers, city workers and postal employees. Anyone else who would like to buy one, they are available for $5.00

Indiahoma School Robotics Team is going to National Competition in December. Each of the 9 students need $75 to attend. The school is looking for sponsors. We voted to sponsor two students if they did not find other sponsorship. 

Wednesday, December 16 is the date set for Christmas Caroling. 

Matt Roberts offered to cut down the dead mesquite tree in the parking lot and use it for firewood. 

After discussion, a motion and a vote, Matt will cut down the tree, leaving us a slice to use to determine the tree’s age and for an historical display.

Administrative Council Meeting

October 4, 2009

Patrick opened the meeting with prayer.

Treasurers' Report:
On October 1 the third apportionment payment was made.
Building Fund---$5,159.89
General Fund---$6,909.14
Total-----------$12,069.03
Harold asked how he should pay the $667.97 for the new refrigerator. Daryl said, "Pay it all at once." Everyone agreed. Harold will write the check out of the building fund.

The United Methodist Women (UMW) are doing great. Daryl thanked them for helping a family pay their water bill. Herwannah answered, "What else would we do with our money if we didn't help people?"

Trustees said we need to act quickly on getting the stained glass window fixed. Patrick will get a hold of Bob Warren this week and see if he can get started soon. They also thanked Harold for purchasing the new refrigerator and getting it installed.

Pastor's report:
  • Charge Conference went very well. The District Superintendent told Patrick that he always enjoys being with us and feels quite at home in Indiahoma.
  • Ooze Fest at Cache UMC was a really good time. Three from our church went with a total of 142 youth from around the district and 165 total people enjoying good music, good fellowship, good devotion, good food and MUD.
  • Two youth from Indiahoma will go on the Lawton District Youth Mission Trip in June. They will fix a church, work at a soup kitchen and maybe a homeless shelter in Espanola, New Mexico. Fifty youth from the Lawton District will go on the mission trip June 20-26, 2010. Each participant has to pay $100 deposit to go. Patrick asked if the church would pay the deposit for our two participants. Daryl entertained a motion to pay the $200 deposit, Virginia made the motion, Hewannah 2nded, motion carried.
  • The after school program started with three kids and nine adults. It went well. We look forward to seeing it grow.
  • Crossfire Lawton District Conference---1st UMC Lawton, October 25, 3:00 p.m. Worship begins at 4:00 with Bishop Hayes speaking. He's a phenomenal speaker. After the worship service are afterglow breakout sessions for youth, young adults, and adults.
Old Business: The ice cream toppings at The Indiahoma School Ice Cream Social and Open House were a big success.

New Business: Alba asked if anyone is interested in having a church garage sale. She has three truck loads of stuff to get rid of. I guess she'll be going to the Goodwill as there was no interest expressed.
